What is it?
The Sign In/Out Board for Windows is a simple office tool which allows you to post on 
a public board that you are out of the office and will return at a specified time. Anyone 
who has access to the Sign In/Out Board on their Windows desktop can view the board 
and your Message/Return Time.

Why?
Have you ever been looking for someone in your office only to find out later they were 
sick that day, at a meeting downtown, or on vacation? With the Sign In/Out Board you 
can see at a glance their whereabouts and expected return time.

Using:
To use the Sign In/Out Board for Windows your system administrator has to set you 
up.  Once done, using the Sign In/Out Board is mostly a point and click operation, in 
fact the only time you must use your keyboard is to type in your Message/Return 
Time.

There are no restrictions on who can Sign In/Out who.  This makes using the Sign 
In/Out Board easy if someone phones in sick, or if one member of a group heading 
in/out of the office wants to sign in/out a number of people.  If you double click on 
someone who is signed out a message box appears showing you who signed them out.

The Sign In/Out Board display takes a picture of the current Board when you first start 
it from your Windows desktop.  Once started, you will have to periodically Refresh 
your display to get the most current Board.  Occasionally during use, the Sign In/Out 
Board will inform you the board is no longer current via a Message Box. This usually 
occurs during a Scroll operation or if you attempt to Sign In/Out someone who has 
already been signed in/out by someone else.

The following clip shows a typical entry displayed on the Sign In/Out Board.  

 


There are several important pieces of information you should be aware of:


>	
Indicates this is the current line (target if you wish).  When you select the Sign 	In 
operation, the person at the current line is picked as the target for signing in.


+	
Indicates this person (RandyM) also left an Extended Message. To view, simply 
double click anywhere on their name or "Message/Return Time".



 Administration

 

The Sign In/Out Board has only one System Administrator per board.  The initial 
Administrator is determined at the time of installation but can be changed (passed 
along) using the Sign In/Out Board Administrator function.  Your System 
Administrator will setup your workstation for using the Sign In/Out Board for 
Windows.

Only the System Administrator has the Admin Icon and Menu bar options.

To Administer the Sign In/Out Board simply press the Admin Icon from your tool bar 
or select File from the menu bar then Admin.  If you do not have the Icon and Menu 
bar option then you are not setup as the Administrator

Printing the Board

 

To Print the Sign In/Out Board simply press the Printer Icon  from your tool bar or 
select File from the Menu bar then Print.

All those currently Signed Out are printed, including those not on the current viewable 
board area.  If anyone on the board has Signed In since your last Refresh then they will 
be dropped from the printed list.

The formatted report is sent to your currently selected Windows default printer.  To 
change the default printer use the Windows Control Panel/Printer dialog.

Signing Out

 

To Sign Out on the Sign In/Out Board simply press the Out Icon from your tool bar or 
select  File  from the Menu bar then Sign Out.

Once selected, the Sign Out dialog box appears with your name selected as the default 
name.  **Note: If you wish you may sign out anyone whose name appears in the drop 
down list which is sorted by the first character of the short (alias) name,  **TIP: if you 
drop down the list you may then use the keyboard to quickly move you to, for example 
the Ts by pressing T.

You must provide something in the Message/Return Time field (up to 25 
characters). A common entry would be  Gone to Lunch/1:00.  

Optionally you may also provide an Extended Message (up to 120 characters).  If 
you do then the  symbol   +   appears next to your name once you have signed out on 
the board.  Anyone who Double Clicks on your name can view your extended message.  
This feature allows you to overcome the restrictions imposed by the shorter 
Message/Return Time.

Once you have selected who you want to sign out and an appropriate message, simply 
press the Sign Out button or Cancel to quit.

Because you may wish to Sign Out several people at once, the Sign In/Out Board 
retains any information you entered in the Message/Return Time and Extended 
Message  fields between your Sign Out selections for the current session.

Signing out someone automatically refreshes the Board for you.



Signing In

 

To Sign In on the Sign In/Out Board simply press the In Icon from your toolbar or 
select  File  from the Menu bar then Sign In.

Once selected, the Sign In dialog box appears with the name of the person on the board 
who is the current record (indicated by the  >   symbol) selected as the default name.  
**Note: If you wish you may sign in anyone whose name appears in the drop down list 
which is sorted by the first character of the short (alias) name,  **TIP: if you drop 
down the list you may use the keyboard to quickly move you to the Ts,  for 
example, by simply pressing T.

To complete the Sign In task simply press the dialog boxs Sign In button or choose 
Cancel.  

Signing in someone automatically refreshes the Board for you.




Refresh

 

To Refresh the Sign In/Out board simply press the Refresh Icon from your toolbar or 
select  File  from the Menu bar then Refresh.

Refresh will reread the shared Sign In/Out Board and updates your display to show 
everyone who is signed out as of that time. 

If you do not periodically use the refresh feature your display will continue to show 
people signed out even if they have already signed in again, and not show people who 
have signed out since your last refresh.

Refresh updates the Last Updated label on the bottom left corner of the Sign In/Out 
Board display.




Exit

 

To Exit the Sign In/Out Board simply press the Exit Icon from your toolbar or select  
File  from the Menu bar, then Exit.




Help

 

To access the Sign In/Out Board on-line Help simply press the Help Icon from your 
toolbar, select  Help  from the Menu bar then Contents, or Press PF1.
