Documentaion for Biographer (shareware version)

The information in this program is organised in Sections (chapters). These
Sections vary in length. The current Section (chapter) number appears
in the top right corner of the screen (have a look).

Cursor up & down arrows, PgUp & PgDn, and Home & End keys control scrolling
within a Section. The current line number also appears in the top right
corner.

To move between Sections use the left and right cursor arrows, or press
Return for the Contents (list of sections) from which you can select
one to view.

See the command line at the bottom of the screen and try this out.

 PRINTOUT ROUTINE 

The printout routine can be called at any time by pressing "P". It will offer
to print just the current Section, or ALL the program data, so be careful!
Output may be sent to any of 4 printer ports, and the user may select a
form-feed between chapters. There is also an adjustable left margin.

PLEASE NOTE: If you are using a MONO monitor, press the first character of
each option to switch selections.

If you have a printer attached, you could try it now.

Press Esc to quit the program.

The 'biograph' was proposed and developed by Peter Cooley as a method for
presenting a life story and validating the data on which it is based. The
various Biographer programs are the copyright of the Ideal Present Club which
markets them.

Biographer for PAF  has been created as a research aid for the Family
Historian who uses the Family Records program (FR.EXE from PERSONAL ANCESTRAL
FILE) to maintain genealogical data on a Personal Computer. PERSONAL
ANCESTRAL FILE Release 2.2 (6 Sep 1989) is Copyright (c) 1984, 1989
Corporation of the President of The Church of Jesus Christ of Latter-day
Saints. Personal Ancestral File is a registered trademark of that
Corporation.

Biographer is not a genealogical database; it is an 'add-on' for PAF.
Biographer for PAF reads the same data files that PAF writes to when you
input or edit your genealogical data.

If you maintain your records with one of the following PC packages, but want
to use Biographer then your data will need to be converted into a PAF data
set via the GEDCOM export facility that they all possess.

Biographer for PAF automatically generates a biograph of an individual and
their nearest relatives. A biograph is a 3-column tabulation of genealogical
events before, during and (if required) after the life of the subject..

The columns of a biograph (as shown on page 2) give the AGE of the subject,
the DATE of the event, and full details of the EVENT. The rows are in
chronological order. A typical biograph starts with the birth of one of the
subject's parents or grandparents and ends at a date after the subject's
death that you specify.  You may opt to include various relatives, in
addition to the immediate family of the subject, in the biograph.

If you wish, Biographer will generate predicted census returns, and a list of
next-of-kin, and append these to the biograph. Biographer for PAF lets you
edit and/or print the biograph you have just generated and save it as a text
file with any name you choose.

You have been supplied with a disk  containing the following :

BIO.EXE         The Biographer 2 for PAF  program
REPHRASE.EXE    A program for modifying phraseology while running Biographer
BIOEDIT.EXE     A text editing program with windows and drop-down menus
BIO.ENC         Your licence details in encrypted form
BIO.INI         The master initialization file
BIO.DAT         The master data file of Notable Events
BIO.ICO         The Biographer icon for users of Microsoft Windows
LOG.BIO         The master log file for details of biographs you generate
ASCII.BIO
COUNTIES.BIO
\BIOTUTOR.PAF   Subdirectory of PAF data for the tutorial
INSTALL.BAT     A batch file for installing the above

Personal computers can be set to display one of a wide range of prompts
before the screen cursor. It is assumed from now on that your DOS prompt has
been set (in AUTOEXEC.BAT) by the command:

PROMPT $P$G

and that you wish to install the above files from your Biographer disk in
drive A:  to your PAF directory  C:\PAF.

You can, of course, install from any floppy disk drive to any other drive
that your system supports, so change the drive letters in what follows
accordingly. The action of pressing the Enter key (also labelled  ) is shown
thus:  <Enter>

1. Switch on your PC and wait until all initialization if complete.

2. If your AUTOEXEC.BAT file has launched a program then you should quit the
   program and return to the DOS prompt (e.g. you will see   C:\>  on the
   screen)

3. Insert your Biographer disk into the appropriate drive and log that drive
   (e.g. type   A:  <Enter>   and you will see   A:\>  on the screen)

4. Type   INSTALL C:\PAF  <Enter> to install the above-listed files. The
   following messages will appear:

                Copying   BIO    Program...
                Copying REPHRASE Program...
                Copying BIOEDIT  Program...
                Copying master BIO.INI file...
                Copying master BIO.DAT file...
                Copying your Licence details...        etc., and lastly:
                Press any key to continue . . .


5. The final message from the installation processes should be:

  All Biographer files copied to your PAF directory.
  Now please follow the instructions in your User's Guide.


6. Press any key to terminate the batch job. You will notice that the logged
drive has been changed    to the one that you specified for installation, and
you now have a DOS prompt following a listing    of the .DAT files that it
contains. It will look like this:

Biographer for PAF lets you create biographs from any set of data that you
have created from PAF. If you are a new user of PAF then it is likely that
you will only have one such set of data in your \PAF directory. In order to
recognise any other sets of PAF data that you have created already, or may
create in the future, Biographer searches for sub-directories within your
\PAF directory that have an extension (e.g. .PAF). The tutorial material
supplied by the Ideal Present Club is written to a newly created
sub-directory named \PAF\BIOTUTOR.PAF. There is no need to do anything to
your main or only set of PAF data files that you have created using FR.EXE.
Similarly, there is no need to act upon the following instructions if you
have already installed Biographer for PAF  1.04 (or higher) on your Personal
Computer.

READ THIS SECTION AND FOLLOW THE INSTRUCTIONS ONLY IF YOU WISH Biographer
TO PROCESS ADDITIONAL DATA SETS THAT YOU HAVE SET UP

Choose a name for your new sub-directory, (say MYFAMILY.PAF)

Enter EXACTLY the following (shown in bold lowercase) from the DOS prompt:

C:\PAF>md myfamily.paf

C:\PAF>cd myfamily.paf

To copy data files that you have in C:\PAF\MYFAMILY enter:

C:\PAF\MYFAMILY.PAF>copy \paf\myfamily\*.dat     ..which should produce:

You now have your data in a sub-directory that Biographer can find because
the directory has an extension to its name. Unless you are very short of
space on the drive where PAF is installed, there is no need to delete the
data files that are still in your original \PAF\MYFAMILY directory.


7. If you already have multiple data sets of PAF material then you will need
to create other sub-directories with an extension .PAF and copy your other
data into them. The extension does not  have to be .PAF - it can be whatever
you wish, up to 3 characters. When you launch Biographer you will be prompted
to input the extension that Biographer should seek.

Please consult your PAF Reference Manual (page 1-87) for information on how
to access the files in your new sub-directory from the Family Records
Program. Assuming that you have just copies files into a new sub-directory
MYFAMILY.PAF, enter:

              C:\PAF\MYFAMILY.PAF>cd\paf       to return to the prompt:

              C:\PAF>       and now you are ready to run Biographer...

During the installation process, a new sub-directory (\BIOTUTOR.PAF) was
added to your other PAF data sets. The genealogical data for the Ideal
Present Club tutorial has been copied from your floppy disk into this new
directory. IT IS STRONGLY RECOMMENDED THAT YOU GO THROUGH THE NEXT SECTION,
USING THIS DATA SET. All the examples in Section 3 are based upon the data in
BIOTUTOR.PAF so that new users can make a direct comparison of the
information in this Guide with what comes up on their own screen.

Starting up

From DOS (MS-DOS , DR-DOS, etc.) enter path\filename e.g.:

               C:\PAF\BIO  <Enter>

If you are already logged in to your PAF directory (e.g. by CD\PAF) then you
need only type:

               BIO <Enter>

Selecting a Data Set

When Biographer for PAF has been started successfully the initial screen
displays your licensed details and prompts you for the PAF directory you wish
to access:

You should press Enter to accept this directory, or enter the full
drive\directory your require. The next prompt is:

You should press Enter to accept .PAF as the extension that Biographer should
look for, or enter the extension that you have decided upon and set up. You
will then be presented with a drop-down menu of the available data sets, in
alphabetical order, looking something like this:

where the the second item (BIOTUTOR.PAF) is the directory created
automatically when you installed Biographer, and the last item (\) is your
main \PAF directory. There is a reminder at the bottom of the screen for how
you can use this menu:

Home   End to move bar,  Space or Enter to select, Esc to quit menu

Try out the effect of these keys now. When the data sets list first appears,
ANCESTRY.PAF would be highlighted. If you press End then the highlight will
jump to the last on the list (\). The arrow keys will do exactly as you might
expect and move the highlight up and down. One useful feature that is not
mentioned at the bottom of the screen is the Alphabetical search routine. If
you press key B then the highlight will appear on the first data set
beginning with B (BIOTUTOR.PAF). Try this for the others in your data set.
Notice that there are two data sets beginning with M above and pressing key M
would move the highlight on to MEMBERS.PAF. You are going to open
BIOTUTOR.PAF, so press B, (move down on to BIOTUTOR.PAF if necessary), and
then press Enter.

Once you have selected a data set, Biographer opens the PAF files NAME2.DAT,
INDIV2.DAT & MARR2.DAT that reside in the sub-directory of your choice. These
files are then processed to discover the number of records that you have
placed there. This information, plus the format settings from your initial or
most recent usage of Biographer are presented on a screen looking like this:

The border characters displayed are those that will be used for the boxes
that Biographer puts around predicted census returns. The left and right
sides contain the character used to separate the AGE, DATE and EVENT columns
in a biograph. If you have just launched Biographer (and have not run PAF)
you should immediately hit the C key in order to initialize your printer.
Otherwise, you need only press C for this tutorial, or if you wish to change
the border or the line formatting.

Pressing C from the information display screen results in the following
prompts at the bottom of that screen and the responses you should give for
this tutorial are shown in parentheses:

Enter Printer No. to initialise: 14 or Esc to Cancel _              (Enter)

Enter number of characters in biograph line 80? _                   (Enter)

Enter number of spaces for left margin 0? _                         (4 Enter)

Press Text (+-+), Single (-) or Double (ͼ) for border style_    (Press S)


This last prompt shows the bottom of each border in parentheses and the full
borders would appear like this in a biograph:

Please note that once the setting is done, you can only change it by quitting
the current PAF data set and then re-selecting the same set. In other words,
there is no way to change the format of a biograph without (temporarily)
quitting the data set.

YOU SHOULD ONLY INITIALIZE YOUR PRINTER IF IT IS CONNECTED, SWITCHED ON, AND
HAS NOT ALREADY BEEN INITIALIZED BY EITHER PAF OR BIOGRAPHER.

Biographer will first present you with the drop-down Main menu, centre
screen:

Notice that the first letter of each item in the menu appears in a
contrasting colour (or density in monochrome). These letters are "hot" keys
so that you can select the item with just one press of a key. Try this now:
press P and you should immediately get the display for PIN 21, the setting
supplied with your copy of the BIOTUTOR data set.

The "hot" keys shown at the top of the screen enable you to navigate around
related people, provided you have displayed one of your 'key' Persons. These
Persons have already been selected for this tutorial, so have a look at the
list by pressing the F6 function key. As supplied to you it contains the
following that will appear in a drop- down menu to the left of the screen,
hiding some of the data for Arthur Henry REYNOLDS:

The first thing to try is selecting from the list, so move the highlight down
one on to Fanny APPS-22 and press SPACE or Enter. Fanny Louisa REYNOLDS (ne
APPS) will be the new person displayed.

You will normally add persons to this list by pressing the Ins key when they
are displayed. Try pressing Ins now and you will get the message:

Fanny APPS-22 is already in list. Press Enter

at the bottom of the screen. The Person List is limited to sixteen and so
Biographer will not allow you to put the same person into the list twice.

Now try out the other navigational features shown along the top of the
screen. Notice that the Father of Fanny APPS, as shown near the bottom left
of the screen, is George APPS-165. Press F and he  becomes the subject of the
Person display:

The quickest way to get back to Fanny APPS-22 is to press F6, where she will
be highlighted, and immediately press the SPACE bar to bring back her
display. When you have her displayed, press M  and you should confirm that
Jane APPS (ne KNIGHT) has now become the subject of the display:

As you have seen, Jane KNIGHT married George Robert APPS, so you can quickly
move from the above Person display to her Spouse by pressing the S key.

What happens when there is more than one Spouse? Have a look at Arthur
REYNOLDS by pressing F6 and selecting him (he should still be top of the
Person List). He married twice, and by pressing the S  key you will move to
his last spouse - Ellen SMITH-192. Biographer has been set up to do this
because the latter spouse is likely to be better remembered within the family
than the former.

How do you move to the first spouse of a twice-married person?

Press S again to move from Ellen SMITH back to Arthur REYNOLDS. Now press P
to get the prompt:

Esc to cancel, or enter PIN: _

at the bottom of the screen. This example is easy, because you can read the
PIN of Fanny APPS-22  from the same screen. Type 22 and press Enter and you
should be back to:

An alternative way to move back to her spouse (as you know his PIN is 21) is
to press the PgUp key. Try that now for a few persons.

REMEMBER:                    PgUp = previous PIN.

                             PgDn = next PIN.

When you have tried out the effect of the PgUp and PgDn keys, go back to
Arthur REYNOLDS-21 by pressing F6 for Persons. He should still be at the top
of the list. You are now going to look at his two families, MIN 7 and MIN 53.
Press key N and you will get this prompt at the bottom of the screen:

Notice that it is the last family of a twice-married person that is the
default MIN displayed with the prompt. If you simply press Enter now you go
immediately to FAMILY 74, which looks like this:

We will examine the details of this display later. When you are ready, press
key F to see the Person display for the Female partner of this Family. Key F
will put up on the screen the Person display for Ellen Agnes SMITH-282, who
has just the one marriage. Hence, if you now press key N you get exactly the
same prompt as before: Family number 53 _

and pressing Enter takes you back to the above FAMILY 53 display.

Now look at the three children of this marriage. Each of them has a
highlighted key character before their names and the top right of the screen
reminds you how you can go immediately to the person display of any of them.
(For 15 children, the maximum that Biographer can display, children 1 - 10
are labelled 0 - 9 respectively and children 11 - 15 are labelled A - E
respectively.) Hence, if you press key 0  now you will go to the Person
display for Sidney Arthur REYNOLDS-193.

Check that all the details of the parents for Sidney REYNOLDS are correct,
and then press key N. You will again get the prompt:

because no marriage is recorded for Sidney REYNOLDS, and hence the default
MIN is that for the parents of the subject. Press Enter to return (once
again) to FAMILY 53, and then press M (Male partner) to return again to
Arthur Henry REYNOLDS-21. Press N and you will again get the prompt:

but this time do not simply press Enter, but type 7 before you do so, in
order to display FAMILY 7, the first marriage of the subject displayed. There
are six children of this marriage, labelled 0 to 5.

Notice that Biographer displays either the date of birth of each member of
the family, or if nothing is recorded about birth, the date of christening
(baptism) instead. If neither of these events is recorded, then Biographer
leaves a blank, and if the children have been entered into PAF in the correct
order, if may be possible to estimate a child's date of birth.

The only "hot" key not yet described on the top line of the Person display is
the G for:

Go same Surname

From FAMILY 7 press key F to get the Person display for Fanny Louisa REYNOLDS
(ne APPS).

Before you search for the next person with the surname APPS, press F3 to get
the Options drop-down menu. As supplied to you, the first item in the Options
menu looked like this:

Soundex Surname Matching       [X]

If there is no X in the brackets (otherwise known as a check box) then press
the SPACE bar once and an X will appear to indicate that Soundex Matching is
set. When you are satisfied that Soundex is set, press Esc to return to the
previous Person display.

The SOUNDEX code is made up of a combination of letters and numbers to
represent how a name sounds, rather than how it is spelled. The method uses
several rules, details of which follow.

RULES FOR SOUNDEX CODES

  The first letter of the name is not changed.
   The rest of the code is numeric (e.g., SMITH = S530).

  The letters:  a, e, i, o, u, h, w,  y   are not coded.

  Code values are assigned to other letters as follows:

           Code     Letters
             1      b, f, p, v
             2      c, g, j, k, q, s, x, z
             3      d, t
             4      l
             5      m, n
             6      r

  Double letters are coded as one.
   E.g., the two p's in the name APPS  are coded with just one digit, 1

  If the name does not have enough letters to make three digits following
   the initial  letter, zeroes are used to make up the remainder (e.g., APPS
   = A120).

Hence, if you press key G now, Biographer will look for the next person whose
surname has the Soundex code A120. As supplied to you, this should be George
Robert ABBS-165 who happens to be the father of Fanny Louisa REYNOLDS (ne
APPS), and pronounced his own surname at his wedding in a manner that caused
the Parish clerk to write it down as ABBS. Check in the above table that both
APPS and ABBS have the same Soundex code. Save George Robert ABBS-165 in the
F6 Persons list by pressing the Ins key. You will get the message at the
bottom of the screen:

George Robert ABBS-165 is No. 16 in list. Press Enter

There are several other ways of spelling this particular surname, e.g. EBBS,
but notice that the Soundex coding of EBBS & APPS are not the same, and if
there were anyone called EBBS in this data set then they would not be found
using key G starting from an APPS or ABBS. If you press G now, you should
move quickly to William APPS-166.

The last exercise to do from the Person display is to look for an exact
surname match. First, move back to George Robert ABBS-165 by selecting him
from the list that F6 drops down. Next, you should press F3 for the Options
and press SPACE with the highlight on Soundex Surname Matching to make the X
disappear. Now press Esc to return to the Person display. This time notice
that, as soon as you press G, there is no reference to Soundex at the bottom
of the screen, and as there was no one else called ABBS in the data set as
supplied, you will eventually get a beep and the message:

Surname: ABBS is unique. Enter to proceed_

at the bottom of the screen. You have now examined all the 'navigation'
facilities available from the Person display, but there is one more (Search
for names) in the FAMILY display that we will now look at.

First move to FAMILY 12 by pressing the N key and entering 12 in response to
the prompt:

Press S to get this prompt at the bottom of the screen:

Enter name(s) of partner _

and enter HAMMOND  to find the next male or female partner with this name
anywhere within their given names, or as their surname. This search is not
case-sensitive, so you need not enter surnames in uppercase, or indeed, enter
any uppercase letters at all. Before you press Enter, notice that the second
child in this family has Hammond as his second given name. The = indicates
that he is recorded as married without issue, so he is someone's 'partner'
and it should be possible to find him using the search for HAMMOND.  Now
press Enter and your search should be successful when Biographer reaches
FAMILY 13. If you press S again and press Enter to accept the default name(s)
HAMMOND, then Biographer will successively take you to FAMILY 14, 15, 20, 26,
27, and finally 54 where Hammond is a given name of the husband.

Use this search routine again, starting at FAMILY 54, to search for Charles
HAMMOND. Biographer will cycle back to FAMILY 1 and then find the text:
Charles HAMMOND in the male partner of FAMILY 14 and FAMILY 20. This
demonstrates that it is indeed a text string that is sought from within the
names of the two partners, and (although not case-sensitive) Biographer will
only look for an exact match, i.e. same spelling & same order.


That concludes the 'navigation' routines and you are now ready to generate
your first biograph.



