2700:                 DOCUMENT TYPE - CODE

A unique, user-defined code of up to 8 characters used to group
documents.  For each document type, the following is defined:

1) whether echoing should be performed and how long copies
should remain in the echo location;

2) whether version control is to be available and the maximum
number of concurrent versions;

3) whether billing is to be performed and whether documents
should be billed at a standard charge;

4) the anticipated duration on the system and whether documents
should be archived or deleted once mature; and,

5) whether full-text indexing should be performed.

All documents assigned the same document type will share these
characteristics.  LETTERS for letters, MEMOS for memorandum,
CONTRACTS for contracts, GRAPHS for graphs, and SPRDSHTS for
spreadsheets are some examples of document types that you may
choose to define in SoftSolutions.  When in a field requiring a
document type, HELP or LOOK-UP can be used to view a listing of
the document type codes and descriptions.

Each Profile and document created in SoftSolutions must be
assigned a document type.  It is useful to define many document
types so that more specific searches may be performed and so that
more flexibility will exist in system management functions.  For
example, you may decide that full-text indexing of all letters
is not necessary.  Only some letters need to be full-text indexed
and archived when mature.  Instead of creating one document type
such as LETTER, you may create two document types.  One for those
letters to be full-text indexed and archived and another document
type for those less important letters.

2701:              DOCUMENT TYPE - DESCRIPTION

An expansion of the document type code which will automatically
appear on all Profiles when the corresponding code is selected.
The description may be up to 30 characters.  When in a field
requiring a document type, HELP or LOOK-UP can be used
to view a listing of the document type codes and descriptions.
By default, this listing is ordered by the code.  Pressing <Tab>
will resort the listing by the first 14 characters of the
description.

2702:               DOCUMENT TYPE - ECHO LIFE

The number of days (0-999) a copy of the document is to reside
in the echo directory after it is last edited.  Documents which
remain in the echo directory for the specified number of days
are removed from this directory using the Janitor utility.
The echo location is defined in the Workstation screen.

To turn echoing off for a document type, the echo life should be
set to 0 days.  Any document and corresponding Profile assigned
a document type which has an echo life of 0 days will not be
echoed.  In order for echoing to take place, the value in the
echo life field for the document type must be greater than 0 and
the echo flag for the application code assigned to the document
must be set to Yes.

2703:               DOCUMENT TYPE - DOCUMENT LIFE

The number of days (0-9999) after a document is last opened
that the document is remain on the system.  Once the document has
remained on the system for the specified number of days, it is
eligible for archival or deletion using the Report Writer.  For
example, if you want all letters to be eligible for deletion 30
days after they were last opened, specify a document life of
30 for the LETTER document type.  If the document is never to be
removed, 0 should be entered.

2704:            DOCUMENT TYPE - ARCHIVE/DELETE

The disposal method for mature documents.  A document may be
archived or deleted once mature.  A document is eligible for
archival or deletion when it has remained on the system for the
number of days specified in the Doc Life field without being
opened.  A document is archived or deleted using the Report
Writer.

'A' indicates that documents of this type should be archived.

'D' indicates that the documents should be deleted.  It is not
recommended that all documents types be flagged for archival.
Less important documents such as memos and some types of letters
are good candidates for deletion.

2705:              DOCUMENT TYPE - INDEX TEXT?

This flag setting partially determines whether documents of the
corresponding document type will be queued for full-text indexing
after the user exits the document and returns to the SoftSolutions
Document Profile screen.  The setting of the Index Text flag for
the application assigned to the document and its corresponding
Profile is also used to determine whether a document is to be
full-text indexed.  Therefore, in order for a document to be
full-text indexed, it must be assigned a document type and an
application that have the Index Text flag set to Yes.  

A document must be full-text indexed in order to perform
SoftSolutions searches on the text.  All Profiles and any text
contained in the Comment field are automatically indexed as they
are added or changed regardless of full-text indexing status.

Full-text indexing should be reserved for important documents.
It is not recommended that every document type be flagged for
full-text indexing as many superfluous hits may appear in 
full-text search results.  Although the disk overhead to support
full-text indexing is very low (less than 5% on a compacted
index), every indexed document does increase the overall index 
size.

2706:                 DOCUMENT TYPE - BILL?

This flag setting partially determines whether billing
information will be tracked for documents of the corresponding
document type.  The Bill flag setting for the SoftSolutions user
is the other determining factor.  In order for billing statistics
(amount, elapsed time, and pages printed) to be recorded in the
billing file for each document revision, the Bill flags for both 
the SoftSolutions user performing the work and document type
assigned to the document must be set to Yes.  If either flag is
set to No, billing statistics are not kept for that document.

The billing amount for each revision is calculated in one of two
ways:

1) If the document type does not have a standard charge,
multiply the elapsed time by the user's hourly rate defined in
the Users screen or the default hourly rate defined in the Control
File.  Then multiply the number of pages printed by the page rate
defined in the  Control File and add this amount to the previous
amount.

2) If the document type is assigned a standard charge,
multiply the number pages printed by the page rated defined in
the Control File and add this amount to the standard charge
assigned to the document type.

2707:            DOCUMENT TYPE - STANDARD CHARGE

If documents of the corresponding document type are to be billed
at a standard charge rather than being billed on an hourly rate,
this field is used to define that standard charge.  For example,
wills are often billed using the standard charge.  This is a flat
rate charged for a document regardless of the time spent on the
document.  The standard charge is billed at the time the document
is first revised (created).  If a document type is to be billed
by time, the standard charge must be set to 0.

2708:           DOCUMENT TYPE - LOCATION SEGMENT

The entry in the location segment field replaces %T in the
location template in the Loc field in the Control File or another
location segment.  This location segment  permits building the
document's path based upon the document type assigned to the
document in the Profile.  For example, the location template may
be F:\DOCS\%T and the location segment for the document type
LETTER is LETTER.  Every document assigned the LETTER document
type would be stored in the F:\DOCS\LETTER directory.

During an add, the location segment defaults to be the same as the
document type code, however, up to 65 characters may be entered.
If the location segment is left blank, it will not be used to build
the location in the Profile.  One or several location segments may
be used to build the full path to the document.  SoftSolutions %
variables may be nested within the location segment. These
parameters include %A for author, %L for application, %S for
document security, %U for user, %UC for creation user, %01-16 for
Custom 1-16, @ for a parsing separator, %% for a single percent
character, and ^^ for a single caret character.   File server,
volume, service names, etc. may be used in the location segment in
order to facilitate the storage of documents on multiple disk
locations.  For example, if %T is the sole entry in the Loc field
in the Control File, then the location segment for one document
type may be F:\DOCS\%A\LETTER while the segment for another type
may be G:\DOCS\%A\%01.  In this example the document type code
determines the full path to the document and the structure may
vary according to the document type.

is automatically assigned to each Profile added.  When performing

The author is the person who is given responsibility for the
document but may not necessarily be the same person who actually
created the document.  For example, a secretary may create and
edit a document belonging to a system manager (the author).
The entry is the user code of a defined SoftSolutions user.

SEARCHING:

When searching by author, the exact code or a portion of the code
and wild cards may be used:

JO*     Searches for any Profile containing an author code of two
        characters or more beginning with 'Jo'.
JO?N    Searches for any Profile containing a 4-character author
        code beginning with 'Jo' and ending with 'n'.  For example,
        John or Joan.

NOTE:	
        * = multiple character wild card

security being used as defined in the Control File.  When using
Basic security, the entry consists of one document security group
code of up to 8 characters.  Only those users who are members of
the assigned document security group will have access to
information about the Profile or the document.  When using
Extended security, the entry may consist of any combination of
document security group codes and individual user codes.  When
entering an individual user, the user can be limited to view
access only by only by placing a "-V" immediately after the user
code.  Only those users who are members of the assigned document
security groups or who are listed individually will have access to
information about the Profile for the document.

Three document security groups are predefined in SoftSolutions
and do not include a specific list of users.  Other groups may be
created in order to meet the organization's security needs.
Security is designated as follows:

PUBLIC.  Grants full access to the document to all SoftSolutions
users.  If no security code is assigned when a Profile is added,
PUBLIC access is entered automatically.

PRIVATE.  Grants full access to the document to the user
designated as the author of the document.  All other users have no
access to the document or the Profile and will not be aware of the
document's existence.

SEMIPRIV.  Grants full access to the user designated as the author
of the document and to the user who created the Profile.  All other
users will have view and copy access only.

<User-Defined>.  Groups defined by the user (usually the System
Manager) which contain a specific list of users, each of whom is
granted either view-only access or revise access to documents
assigned a specific group.  Those not in the group have no access.

No.  If the In Use Flag is set to Checked Out, the Rev. By field
will contain the user code and name of the user who checked the 
document out.  When that user checks the document in, the In Use

In certain situations, the In Use flag may not be automatically
reset from Yes to No.  In these cases, the user displayed in the
Rev. By field can still open the document.  For any other user

The operating system in which the document is stored.  Valid

environments such as UNIX will allow the filename to be up to 65

The alias in another 8-character code other than the user code by
which the user may be known.  For example, the user code for the
user Julie Ann Smith may be JAS107 whereas the alias may be JAS.
The alias is useful when working with applications such the
network version of WordPerfect which accepts a 3-character maximum
user code for determining a users preferred WordPerfect setup.  It
is often difficult to come up with unique yet meaningful
3-character user codes.  However, by using the user alias, users
may be assigned meaningful 8-character user codes and arbitrary
(if necessary), unique, 3-character aliases.

Using the `alias' as in the WordPerfect example cited above would
result in a WordPerfect command line such as the following (If
WordPerfect is called directly by SoftSolutions and not through a
batch file):  wp.exe /u=%ua %p%f where %ua is the SoftSolutions
variable which references the current user's alias.

invoke which starts this application.  The .EXE, .COM, or .BAT
extension must be used on the command line.

Any switches or parameters that the application recognizes may
also be used on the SoftSolutions command line or in the batch

life greater than 0 days, then the document and its associated
Profile will automatically be copied to the echo location.  If
documents are inaccessible from the file server, they may be
accessed via SoftSolutions portable mode if the echo location is

The maximum amount of space in bytes available in the echo
directory for echoing.  If an entry is to be made in kilobytes or
megabytes, use the abbreviations 'K' or 'M' respectively.  For

converted into bytes for displaying on the screen.  When the
maximum size has been reached, the Janitor utility must be run
to delete old documents and make room for more current documents.

This format determines how dates will appear throughout
SoftSolutions.  Dates must also be entered using the same format.

There are three components to the date format -- the month, the
day, and the year.  The month may be represented by one of the
following:  MM or MMM.  If the month is represented by MMM, the
month is displayed using alphabetical characters only.  MM is
used for the month to display in numerics.  The day is
represented by DD.  The year may be represented by one of the 
following:  YY or YYYY.  YY is used to display the last two digits
of the year only.  Place a single zero before the date format to 
indicate that any single digit for the month or day should 
automatically be preceded by a zero.

Examples:
   DDMMMYY for 26Mar92
   DD/MMM/YY for 26/Mar/92

The date format is especially important if the date is entered in
all numerics, and an indication as to whether the day or month is
first is needed.  For example, assume the date format is DDMMMYY.
March 4, 1992, can be entered as 4Mar92, 4/3/92, etc.  But,
entering 3/4/92 is interpreted as 3Apr92.

A template for the path to which documents in SoftSolutions should
be sent.  The directory structure used for storing SoftSolutions
documents is being established.  Profile field values can be used
to determine the document's location.  Field identifiers (%

application, %T for document type, %S for document security, %U
for user, %UC for creation user, %01-16 for Custom 1-16, @ for a
parsing separator, %% for a single percent character, and ^^ for a

order to facilitate the storage of documents on multiple disk 
locations.  For example, a template of F:\DOCS\%A\%T would store

It is recommended that variables which represent fields with a
very large number of values not be used in the location template
as this will result in the creation of a large number of sub 
directories.

be %N.%V.  If applications which require extensions are to be used
in conjunction with version control, you may use the %NB_%VB
template which uses the base 36 document and version numbers and
leaves the extension free for use by the applications.

number for incrementing is useful.  When one archive set becomes
full, a new archive set with the same format can automatically be
created and be assigned the next number.  If a subdirectory, the
directory template may not exceed the 8-character DOS subdirectory
name limit.  Examples:  ARC00001 or A0000001

2816:        CONTROL FILE - MAXIMUM SIZE IN BYTES

The maximum amount of space in bytes available in an archive set
before SoftSolutions will create a new archive set.  The maximum
size should not exceed the capacity of the media onto which the
contents of the archive set will be stored off-line.  In some
cases, the archival media may use some of the available space to
record file storage data; therefore, you may wish to make the
maximum size 10% smaller than the space available on the archival
medium.  For large-capacity archival mediums, SoftSolutions
recommends that the size be set smaller so that a large number of
documents are not permitted to accumulate in the archival
directory before they are dumped to tape.  However, make sure
that the size of one archive set divides evenly into the size of
the archival medium to prevent wasted space.  For example, if the
contents of your archive directories will eventually be stored on
2.2 gigabyte cartridge tapes, your maximum size should be set to
a number much smaller (in the range of 20 - 50 megabytes).  The
contents of multiple archive sets may be stored on one tape. When
the maximum size has been reached, SoftSolutions will
automatically create a new archive set and documents are archived
to this location.  If an entry is to be made in kilobytes or
megabytes, use the abbreviations 'K' or 'M' respectively.  For
example, to enter 2 megabytes, type 2M.  The entry will be
converted into bytes for displaying on the screen.

ARCHIVE LIST - Produces a list of the document which are eligible
for archival without actually archiving the documents.  For
verification purposes, the Archive List action should be selected
before running the report with the Archive action.
ARCHIVE OVERRIDE - Archives all archivable documents meeting the
report criteria regardless of the date last opened.
DELETE - Deletes all eligible documents selected by the report.
The Delete action only deletes those documents which have not
been opened for at least the number of days specified by the
document's document type.
DELETE LIST - Produces a list of the documents which are eligible
for deletion without actually deleting the documents.  For
verification purposes, the Delete List action should be selected
before running the report with the Delete action.
DELETE OVERRIDE - Deletes all deletable documents meeting the
report criteria regardless of the date last opened.
DELETE OVERRIDE LIST - Produces a list of documents that meet the
report criteria which are of a deletable document type regardless
of the date last opened.  The documents are not deleted.  This
action should be used for verification purposes before running
the report using the Delete Override action.
NONE - Performs no action and selects all documents meeting the
report criteria without regard to the archive/delete status of
the document.

Billing File Actions:
BILL - Produces a list of billing records that meet the report
criteria and flags them as billed. Any records already flagged
as billed are not reported.  This ensures that the billing
records are not billed more than once.
BILL & PURGE - Produces a list of billing records that meet the
report criteria.  The billing records are billed and then
immediately deleted.
NONE - Performs no action and selects all billing records meeting
the report criteria regardless of whether they have already been
billed.
PURGE - Billing records which meet the report criteria and which
are flagged as billed are purged after being reported.

Activity File Actions:
NONE - Performs no action and selects all activity records
meeting the report criteria.
PURGE - Activity records which meet the report criteria are purged
after being reported.

supported with applications that accept ASCII files, such as WordPerfect,
MicroSoft Word, etc.  For those applications which only accept documents in
their own format, the creation template cannot be used except to copy a file
such as a blank spreadsheet. For Lotus 1-2-3 the template could be as
follows: ^F:\lotus\empty.wk1 where empty.wk1 is an empty lotus spreadsheet.

see why the document could not be indexed.  The error log is located in the
STATUS subdirectory of the SoftSolutions data directory and is contained in

an indexing request, you may change the status from Attempted to Not
Attempted.  If the Indexer is currently processing the indexing request, the

a document is to be full-text indexed is based on the document type and the
application assigned to the document in the Profile.  The Indexer can be
setup as a dedicated Indexer that processes requests as they occur, or the
Indexer can be run periodically to process the requests.

After several months of processing, the indexing file may need to be
optimized.  The Compactor utility is used to compact the index files. 
Compaction should be run every other month to minimize the space used by the

the following files located in the SoftSolutions data directory is highly
recommended before running the Compactor:  WORDS.DAT, WORDS.X01,

archived document, the document must be restored.  When a document is
restored, a copy of the document and all of its versions is placed in the
original location defined in the Profile. An archived document is restored

the Restore option, the document is automatically restored and can be
accessed immediately.  However, if the document is not on-line, a
restoration request is submitted.  The Restorations screen contains a list
of these restoration requests.  The system manager should move the requested
documents from the appropriate archive media to the archive location and
archive template specified for each document and then restore the documents
using the Restore option.

Accesses the Janitor utility.  The Janitor utility is used to maintain disk
space in the echo location by removing old files. Echoing provides a
redundant copy of a user's documents in a  secondary location known as the
echo location for cases when the network goes down or Portable Mode is used.
 For each workstation record, the echo location and the space available for
echoing is stipulated.  As a document is exited, the document and the
Profile are echoed to this location.  A file, SSECHO, is also found in the
echo directory which indicates the cumulative size of the documents
contained in the echo directory.  When the cumulative size of the documents
reaches the maximum size defined for the workstation record, the Janitor
utility must be run to remove the old files before any additional echoing
may occur.

Each document that matches the given file specification will be
listed and marked for import.  The user may unmark a file by using
the cursor movement keys to highlight the file to be unmarked and

space bar or <Enter> while highlighting an unmarked document will
re-mark the document for importing.  To reverse the marks for all
documents contained in the list (mark those files which are
currently unmarked and unmark those that are currently marked),
press "R" for Reverse.  To mark all of the files contained in the
list, press "A" for All.  Once all of the desired documents have
been marked, press <F7> to begin importing.  Only those documents
marked at the time <F7> is pressed will be imported.  Press <Esc>

word in a specific field returns inaccurate results, use

rights must be indicated.  There are four rights, each associated
with specific options.  These four rights are:

'V'iew  -  Permits viewing data on the screen or window using the
Execute and Preview options in the File menu, the Search option in
the Search menu, and the Search Scope option in the Global menu in
the Document Profile screen only.

'A'dd  -   Permits adding data into the screen using the Add and
Copy options in the File menu.

'C'hange -  Permits viewing and changing screen information using
the Change option in the File menu.

'D'elete -  Permits viewing and deleting screen information using
the Delete option in the File menu.

These four rights can be granted singularly or in any combination.

The default for all screens and options is no access rights.  This
means if no access code is given for any screen, window, or option,
then the screen, window, or option will not be accessible.  Options
to which the user does not have access are grayed.

When assigning rights to a screen, note that SoftSolutions menus
display only those options necessary for the particular operations
of a screen or window.  This is independent of which access rights
are granted for a screen, window, or option here.

For example, the Control File screen uses only the Change
option in the File menu.  Even if a user belongs to a screen access
group, which has VACD rights to the Control File screen, Change is
still the only available option in the Control File screen.  Simply
assigning the right VC to the Control File screen represents full
rights to this screen.

When assigning rights to an option, any right permits use of the
option.  For example, when assigning rights to Preview, any right
or combination of rights permits use of the option in the Document
Profile screen.

When granting access rights, note that screen security can be
overridden by document security.  For example, if a user cannot
revise a document because of document security, the Change, Delete,
and Open/Retrieve options in the File menu are not available for that
document, even if the user has full rights for the Document Profile
screen.

In the Screen Access Groups screen, all options, screens, and
windows are divided into three sections:  User Screens, Maintenance
Screens, and Setup Screens.  This is done to aid in determining to
which screens and options users should be granted access. 
Generally, only the system manager should be granted access to
Maintenance and Setup screens.
