These instructions supplement and clarify the program 
documentation for SBT Professional Series, Version 2.5.

In case of a conflict between the information in the manuals
and this file, you should use the information in this file. 
In addition, after starting Professional Series you should 
review the information under the Read Me help topic. To find
this information, go to the Help menu, select Program 
Topics, then select "Read Me."

For easy reference, the following text include each 
subject's title underlined in the upper left-hand corner of 
the screen or page. The SBT applications affected are listed
after the title.

Updated Sample Data
-------------------
This version of SBT Professional Series contains an enhanced
data set for the sample company Professional Software, Inc. 
(company number 99).

If you are installing over an existing system, you should 
decline the option to update your sample data for each 
application.  This is because the install program only 
copies the new application data files; it does not update 
the values stored in system data files.

 * NOTE: If you are experienced with SBT and FoxPro data 
         file manipulation, you can choose the option to 
         update your data, and edit SYSDATA and SYCCOMP to 
         match the application totals (next sales order 
         number, next batch number, current period, etc.).  

         Since SYSDATA is the main system file, you must be 
         very careful not to make an error.  Editing SYSDATA
         manually is done at your own risk.

Accounts Payable Check Format                               
-----------------------------
The method for changing the check format in Accounts Payable
has changed, beginning with Build 456.  In previous 
versions, the check format information (locations for 
address, amount, etc.) was stored in a data file, and edited
by position number.  Now this information is contained in a 
report form (.FRX) file, and edited graphically.            
                                                            
If you have modified the check format in an existing 
version older than 456, your changes will not be imported 
into the .FRX file.  To retain your check format, you will 
need to start your old system before running the new 
installation routine, and go to the "Check Format" option 
in Accounts Payable.  Write down the positions of each of 
the check elements (or print the screen).           
                                                            
After you have installed the new version, start it from DOS 
by going to the DOS prompt of the directory containing the 
file SYSDATA.DBF, and typing SBT. 
                                                            
 * NOTE: The check formatting option is not available when 
         running Professional Series from Windows, but 
         changes that you make from the DOS environment 
         will be used when printing checks from Windows.    
                                                            
Return to the "Check Format" option in Accounts Payable.  
Since you have not yet set up a new check format for your 
company, the program lets you copy the default check format 
to use as a starting point. Next, you see these choices at 
the top of the screen:

 Select  PRINT TEST     to print a sample check to check 
                        positions.
         EDIT SETTINGS  to specify printer type and form 
                        length.
         EDIT FORM      to arrange elements of your check 
                        or stub.
         EXIT           to return to the Main Menu.


Editing the Settings
--------------------
When you choose EDIT SETTINGS, you see an option grid with 
these choices:

 Laser Printer                                              
    Select  YES  if you will be printing checks using a 
                 laser printer. This will eject the page 
                 when printing is done.                  
            NO   if you are going to print checks using
                 a standard dot matrix printer.             

 Form Length                                                
    This shows the number of lines on a check. It is the 
    total number of lines on the check stub, the invoice 
    detail, and the body of the check. If you change the 
    number of lines on the stub (below), you will need to 
    adjust this number accordingly.  The default value of 
    42 works with most standard checks.         
                                                            
 * NOTE: Changing the form length also requires a change on 
         the Form screen.  See the section below entitled, 
         "Changing the Form Length."         

 Stub Length                                                
    This shows the number of lines in the check stub. The 
    default value of 21 works with most standard checks.  
    If you change this setting, be sure to adjust the total 
    form length (above) accordingly.                        
                                                            
After responding to the choices, select EDIT FORM from the 
top of the screen to modify the check layout.               


Editing the Form                                            
----------------
When you choose EDIT FORM, you see a screen with a graphic 
representation of the check and its stub.  Although the 
jumble of coded text may appear intimidating, the screen is 
quite easy to use.  All the elements of the check that you 
may have customized in your existing system are found on 
this form, although their names are different.  Use a mouse 
to click and drag the elements to match your checks. 

Here is a cross reference list of the moveable fields:

Using the Row and Column Coordinates                        
------------------------------------
Notice that in the upper left corner of the form window 
there is a display showing "R:" and "C:".  These numbers 
show the current row and column position of the check 
element you select.                                    
                                                            
Note that the top line in the new format is line 0, whereas 
the old method called it line 1.  Also, the middle section 
of the check contains space for the invoice detail, which 
can vary in size depending on the number of invoices paid 
with a particular check. At most, this section can expand 13
lines beyond what is shown on the default form, so after the
check stub and before the check body, the program will print
(or skip) 13 lines before the beginning of the check body.  
No matter how much the size of the detail section 
fluctuates, the check body will always begin at the same 
point on the page.                    
                                                            
What this means to you when editing the check form is that 
the row counter (R:) at the top of the screen will be off by
13 for elements of the check body.  The column indicator 
will be correct, but if you want to match your old format by
following your old coordinates, you need to add 13 to the R:
value to find your true position on the check body. 

Here is a table showing the default check in the old line 
number coordinates and in the new:

For example, if your existing system had the check amount 
shown at row 30, column 60, you would first select FORM from
the top of the option grid screen.  Then you would locate 
the highlighted field on the form called "ttotal," and use 
your mouse to drag it to the point on the screen where the 
row/column figures read 17 and 60, respectively.  


If You Do Not Have a Mouse                                  
--------------------------
You can also move fields without a mouse.  Use the arrow 
keys to position the cursor in the field you want to move, 
then press the space bar.  The field will change color 
slightly, indicating that it is selected. You can then use 
the cursor keys to maneuver it on the screen.  When it is 
positioned where you want it, press the space bar again to 
leave it there.                    


Changing the Form Length                                    
------------------------
If you changed the value for Form Length on the option grid,
you need to make one more change before saving your work.  
At the top of the screen, the menu bar is dimmed except for 
the Report menu.  Select it, then select "Page Layout" from 
the pull-down menu that appears.  In the dialog box that 
appears, the first field is called "Page length."  Enter 
your new form length there.  This number must be the same as
the number you entered on the option grid.  Then select OK 
to close the dialog box.

Saving Your Changes                                         
-------------------                                         
When you have moved the check fields to where you want them 
on the form, press <Ctrl>-W to save the changes.  You are 
returned to the screen with the four buttons at the top.  
You can then select PRINT TEST to print a test check showing
X's and 9's in the pattern of a check.  Examine the 
positions of the various check elements.  If you need to 
make further changes, select EDIT FORM to return to the form
editing screen.  When your checks print correctly, choose 
EXIT to return to the Main Menu.
