**1. USING THE 1-2-3 RELEASE 4.01 UPDATE UTILITY**

The 1-2-3 Release 4.01 Update utility updates stand-alone and network-server
editions of 1-2-3 Release 4 to Release 4.01.

If you are updating a server installation, the Update utility asks for
the path to 1-2-3 on the server.

For stand-alone updates, however, the Update utility looks for paths to 1-2-3
Release 4 and the Lotus Common Directory in the LOTUS.INI file located in
your Windows directory. If you encounter a problem while using the Update
utility, verify that the paths in the [Lotus Applications] section of your
LOTUS.INI file are correct.

For example,

[Lotus Applications]
Common Directory=c:\lotusapp
123w=c:\123r4w\programs\123w.exe Lotus 1-2-3 Release 4

In the above example, c:\123r4w is where 1-2-3 Release 4 is installed
and c:\lotusapp is the Lotus Common Directory. (The Update utility
needs to find the Lotus Common Directory if you installed any DataLens
drivers with 1-2-3 Release 4.)

DISTRIBUTION UPDATE

To streamline updating 1-2-3 on many stand-alone computers, copy the
1-2-3 Release 4.01 Update files to a network server and then let licensed
users update 1-2-3 on their hard disks from the server.

Follow these instructions to copy the update files to the server:

1. End Microsoft Windows.

2. At the operating system prompt, change to drive A: and type
upsby a: [x]:\path and press ENTER.

[x]:\path represents the drive and directory where you want
UPSBY.BAT to copy the 1-2-3 update files.

UPSBY.BAT copies the compressed Update files to the server, prompting
you to change disks until all the files are copied.

NOTE UPSBY.BAT copies the files from Disk 1 to a directory it creates
called DISK1, and files from Disk 2 to a directory it creates called
DISK2. For 5.25 inch disks, UPSBY.BAT also copies the file MAIN123W.E2_
to a directory it creates called DISK3.

Users can now follow these instructions to Update 1-2-3 Release 4 to 4.01
on their hard disks.

1. In the Windows Program Manager, choose File Run.

2. Type [x]:\path\disk1\setup in the Command Line text box.

[x]:\path is the drive letter and path for the server directory that
contains the Update files. For example, type t:\123r4wup\disk1\setup
to start the update from a directory named \123R4WUP on drive T:.

** 2. UPDATING RELEASE 4 WORKSHEET FILES TO RELEASE 4.01**

Upon opening a worksheet file that was last saved in 1-2-3 Release 4,
Release 4.01 automatically recalculates all formulas in the file. This
recalculation, which completes the transition from Release 4 to Release 4.01,
may take a noticeable amount of time, depending on the size of the file.
Once you save the file using 1-2-3 Release 4.01, this recalculation will not
happen again.

**3. APPLICATION FIELD EXCHANGE**

EXCHANGING DATA BETWEEN 1-2-3 AND NOTES

Application Field Exchange lets you exchange data between 1-2-3
and Notes by embedding a 1-2-3 Worksheet object in a Notes form.
Information that you enter in either 1-2-3 or Notes then appears
in the other application.

NOTE You can use Application Field Exchange only if you are using Windows 3.1.

Use this feature to create applications that let multiple users create
spreadsheets using the same 1-2-3 template and store the spreadsheets in
a Notes database.

For example, you can create a Notes form for an expense report and embed a
worksheet object in the form. Whenever you use the form to compose a new
expense report, Notes can automatically start 1-2-3 so you can enter your
expense report information easily in a 1-2-3 worksheet.

When you complete the expense report and close 1-2-3, the worksheet object
is embedded in the Notes document. Information from the expense report
worksheet, such as total expenses, now appears in the Notes document or in
the Notes view. The expense report is stored in a Notes database with other
expense reports.

You can exchange two types of data:

1-2-3 supplied data: Descriptive data about the embedded worksheet object,
such as the file size, number of worksheets in the file, and so on.

User-defined data: Text and numbers (including dates and times) from cells.
User-defined data can travel in both directions: from 1-2-3 to Notes, and
from Notes to 1-2-3.

In order to exchange data between 1-2-3 and Notes, you must have Lotus Notes
Release 3.0 for Windows, and you must start SHARE.EXE before you start
Windows. To start SHARE.EXE before every Windows session, add the following
line to your AUTOEXEC.BAT file, substituting the location of your DOS
directory for d:\dos_dir:

d:\dos_dir\SHARE

See your DOS documentation for information about SHARE.EXE.

1-2-3 includes a sample Notes Database file, EXPENSE.NSF, that demonstrates
Application Field Exchange. To use the sample file, copy EXPENSE.NSF into
your local Notes directory; then choose File Open Database in Notes to add
the database to your Notes desktop.

SETTING UP APPLICATION FIELD EXCHANGE

To exchange data between 1-2-3 and Notes, embed a 1-2-3 Worksheet object in
a Notes form. In the worksheet object, create a table of data you want to
exchange.

To create the Notes form:

1. In Lotus Notes, select a database and choose Design Forms.

2. To create a new form, choose New. To edit an existing form, select
   a form and choose Edit.

3. Create and name fields to contain text and numbers (including dates
and times) from the worksheet object. **

4. Close the Notes form and choose Yes to save the form.

5. If you created a new form, enter a form name and choose OK.

** Fields can contain user-defined data or 1-2-3 supplied data.

To create a field that contains user-defined data, create a field with a
name that you enter in column 1 of the range named NOTES FIELDS in the
embedded worksheet object.

To create a field that contains 1-2-3 supplied data, use one of the
following field names:

Notes field name 1-2-3 supplied data
SizeInPages Number of worksheets in file
SizeInK Size of the embedded object in kilobytes
(1-2-3 file size plus a header)
LastRevisionDate Date and time of last update
DocumentClass OLE class name (123Worksheet)
PageTitles Worksheet names (worksheet letters are not sent)

To create and embed the 1-2-3 worksheet:

1. In 1-2-3, use File Open to open the file containing the data you want
to use in the Notes document, or use File New to create a new file.

2. Create a 2-column table anywhere in the file.

Column 1: Field names in Notes form that will receive and send
	     user-defined data

Column 2: Data to exchange, or the cell address or range name of
a range that contains the data

3. Use Range Name Add to name the 2-column table NOTES FIELDS.

4. Use Edit Copy to copy to the Clipboard the part of the worksheet that you
want to display in the Notes form.

You don't have to display the information that you want to exchange.

5. In Notes, use Design Forms to edit the form, and then use Edit Paste
Special Embed to embed the 1-2-3 Worksheet object into the form.

For best results, choose Picture or Bitmap under "Display as."

6. (Optional) To have Notes automatically activate the worksheet object,
choose Design Form Attributes and then choose Object Activation.

Otherwise, Notes activates an embedded object only when you
   double-click it.

7. Close the Notes form, choose Yes to save the form, and choose Yes to store
   the form in documents.

USING APPLICATION FIELD EXCHANGE

After you create a Notes form that contains an embedded 1-2-3 Worksheet
object, Notes embeds a new worksheet object in each new document you
create using the form.

To create a new Notes document:

1. In Lotus Notes, choose Compose, then choose the name of the form that you
created in "Setting Up Application Field Exchange."

Notes creates a new document containing an embedded worksheet object.

2. Double-click the object to start 1-2-3 and open the object.

3. In 1-2-3, enter or edit the data in the worksheet object.

4. Choose File Update to update the worksheet object.

5. Choose File Exit & Return to Lotus Notes to close 1-2-3 and return to
Notes, or File Close to close the worksheet object without closing 1-2-3.

The fields in the Notes document that refer to 1-2-3 data are updated.

To update an existing Notes document:

1. In Lotus Notes, select the document and choose Edit Edit Document
   or press CTRL+E.

2. (Optional) To send data from Notes to 1-2-3, edit the field whose value
   you want to change.

You cannot send data to 1-2-3 cells that contain formulas or that are
in protected cells. You cannot send data to 1-2-3 from Notes computed
   fields.

3. Double-click the embedded worksheet object.

Notes starts 1-2-3, opens the worksheet object, and updates any fields
that you changed in the Notes document.

4. In 1-2-3, edit the data that you want to change.

5. Choose File Update to update the worksheet object.

6. Choose File Exit & Return to Lotus Notes to close 1-2-3 and return to
Notes, or File Close to close the worksheet object without closing
   1-2-3.

The fields in the Notes document that refer to 1-2-3 data are updated.

**4. MAXIMUM NUMBER OF OPEN FILES HAS INCREASED**

Windows 3.1 users can have up to 32 worksheet files open at the same time
in 1-2-3 Release 4.01.

**5. NEW DATALENS DRIVERS**

IBM DATABASE MANAGER

The DataLens driver for IBM Database Manager now supports the DB 2/2 database.

PARADOX

The DataLens driver for Paradox tables is now compatible with the table
format of Paradox 4.0, including Paradox for Windows. This section explains
differences between this new driver and the Paradox driver included in the
1-2-3 Release 4 package. For more information about using the Paradox driver,
see DataLens Drivers for 1-2-3.

The Paradox driver cannot update, create, or insert data into a memo field
and cannot index memo fields.

The Paradox driver does not support the BLOb Paradox data type, but does
recognize when a data type is a BLOb.

The Paradox driver uses table creation strings to specify a table's format.
If you do not specify a format when creating a table, the driver creates
the table in a format compatible with Paradox 3.5. To create a standard
Paradox 4.0 format table, enter VER4.0 in the "Table creation string"
text box.

If you specify both a sort order and a table format in the table creation
string, separate the sort order and table format with a comma. You can
specify the sort order and table format strings in any order. For example,
you can use either SORT INTL,VER4.0 or VER4.0,SORT INT.

The Paradox driver is compatible with the Paradox 3.5 file locking scheme
and the PARADOX.NET file.

**6. IF YOU HAVE NOT SELECTED A DEFAULT PRINTER**

Do not use the 1-2-3 command File Printer Setup until you have selected a
default printer. For information about selecting a default printer, open
Printers in the Windows Control Panel and then choose Help.
